MacBook Back-to-School Setup Checklist
Got a MacBook for back to school — or want to make sure yours is ready? Here's the complete setup guide: every step, in order. Takes about 45 minutes total.
Sign In and Create Your Apple ID
If your MacBook is new or freshly refurbished, the first thing it asks is to sign in with an Apple ID. If you don't have one, create one — it's free. Your Apple ID unlocks iCloud, iMessage, FaceTime, the App Store, and Find My. Don't skip this — everything else depends on it.
Update macOS
System Settings → General → Software Update
Run all available updates before you arrive on campus. Some campus software, learning management systems, and apps require a minimum macOS version. Do it now, not during orientation week. Also update once a semester going forward.
Turn On iCloud Drive
System Settings → [Your Name] → iCloud → iCloud Drive → Sync this Mac: On
This syncs your Desktop and Documents to the cloud. Every file you save to your Desktop is automatically backed up. If your MacBook is lost or stolen, you lose the hardware — not your work.
iCloud free plan: 5GB (usually not enough). Upgrade options: 50GB at $0.99/month or 200GB at $2.99/month — recommended for most students.
Turn On Find My Mac
System Settings → [Your Name] → Find My → Find My Mac: On
This lets you see your MacBook's location, play a sound to find it, lock it remotely if stolen, or erase it remotely if unrecoverable. Takes 30 seconds. Do it now — not after you leave it in the library.
Install Your Must-Have Apps
Download everything at home on fast Wi-Fi before campus networks get overloaded on move-in day.
School Essentials
- Microsoft Word, Excel, PowerPoint — most schools offer free Microsoft 365. Check your school's IT page for the student download link.
- Zoom — download from zoom.us (not the App Store version, which has fewer features)
- Your school's VPN — required for accessing library databases and internal systems off-campus. Find it on your IT department's website.
- Google Chrome or Firefox — Safari works, but some school systems run better in Chrome
Productivity
- Notion or Obsidian — notes and class organization (both have free tiers)
- 1Password or Bitwarden — you'll have 20+ accounts by the end of the semester
- Google Drive — optional secondary backup alongside iCloud
Communication
- Slack — if any professors or study groups use it
- Discord — many class groups and tutoring communities are on Discord
Course-Specific
- VS Code (coding)
- RStudio (statistics / data science)
- MATLAB (engineering — check if your school provides a license)
- Adobe Creative Cloud (design — check for student discount)
Set Up Your School Email
Mail app → Add Account → Google or Microsoft (depending on your school)
Having email in the native Mail app means you see notifications when professors email you — not just when you remember to open a browser tab.
Bookmark Your School's Learning System
Your class materials, assignments, and grades live in Canvas, Blackboard, Brightspace, or Courseworks. Bookmark it. Also bookmark your school library database, student portal, and academic calendar.
Set Up Time Machine Backups
Buy a 1TB external hard drive ($50–$60). Plug it in — macOS will ask if you want to use it for Time Machine. Say yes. Time Machine backs up your MacBook every hour when the drive is connected.
iCloud covers day-to-day files. Time Machine covers everything if your MacBook needs to be replaced or restored. You'll thank yourself the first time you accidentally delete a paper you've worked on for three weeks.
